I. System and Architecture:
Supports Windows 7/Windows Server 2008/2010 systems. The core of the software system adopts a C/S architecture, fully ensuring security between the server and clients, and fully leveraging the processing power of client PCs. On this basis, a B/S architecture access mode is integrated. Any terminal or console computer can access the server conference management system through a browser without installing any specialized software, making it convenient and fast. The WEB browser access mode supports super administrators and multiple administrators. The super administrator can assign multiple usernames and passwords, and meetings created and set up by different administrators are kept confidential from each other. The super administrator has the authority to manage all meetings.

II. Smart Paperless Conference Backend Software Functional Requirements
★1. The server is paired with intelligent paperless backend conference management software, which can remotely turn on and off conference terminals (i.e., unified power on, unified power off, and can specify which seat terminals to turn on/off for a particular meeting. For example, if there are 80 seats in a venue and only 20 people are participating in this meeting); control the lifting equipment to rise and fall; responsible for managing conference documents: it can manage and distribute files for single or multiple conferences, improving the conference system's capabilities for conference information interaction, transmission, management, and secure backup. Supports functions on the conference terminal screen such as check-in, voting, annotation, file viewing, service calls, file projection, meeting agenda, screen sharing, participant permissions, shared electronic whiteboard, etc. Conference documents can be stored in real-time within the intelligent paperless conference server or automatically returned to the internal system.
III. Pre-Meeting Preparation
★1. Multi-Meeting Management: Supports pre-configuring multiple meeting information: set meeting slogan content, customize slogan background image; set welcome screen, customize background image; edit basic meeting information: meeting theme, host, secretary, meeting time, meeting location, etc., and set display methods (font type, size, color, and layout). Meetings can be freely enabled according to the meeting schedule.

Attendee Settings: Supports batch import of attendee names, fonts, font sizes, and background images; supports generating simulated layouts; supports temporary addition and temporary absence mechanisms for attendees, which can be modified and automatically re-ranked with one click according to rules, and displayed in real-time on the simulated layout.
★3. Set Meeting Permissions: Permissions include: attendee 'whether to sign in', 'whether to participate in a specific topic', 'whether files within a topic can be viewed', 'whether to participate in a specific vote', 'whether to be able to broadcast on the same screen'.
★4. Meeting Agenda: Set meeting agenda information, and the terminal will generate a meeting agenda tree.
★5. Meeting Topics: Set multiple meeting topics, configure participant permissions for each topic, and upload meeting files for each topic. Supported file formats: (MP4, AVI, PDF, PPT, Word, EXCEL, CAD, 2D, 3D, etc.).
☆6. Voting and Balloting: Set up and manage meeting voting and balloting. Edit voting titles, types (for balloting: agree, oppose, abstain; for voting, content can be customized), voting methods (supports setting anonymous or real-name voting), attendee voting permissions, control voting start time. Balloting results are automatically generated upon completion, displayed in a circular proportion. Supports importing and exporting voting information.
IV. Meeting Management
☆1. Supports temporary addition or modification of attendee information during the meeting via the backend.
☆2. Supports real-time control of attendee client software and hardware terminals from the backend during the meeting. Temporarily change attendee usage permissions during the meeting, such as 'whether to sign in', 'whether to participate in a specific topic', 'whether files within a topic can be viewed', 'whether to participate in a specific vote', 'whether to be able to broadcast on the same screen'.

V. Post-Meeting Archiving:
★1. Intelligent paperless conference management software is an intelligent system that integrates publishing, management, and automatic saving. It supports archiving and saving of the current meeting after the meeting ends; the naming convention is: Meeting Time - Meeting Name, which facilitates later archiving and retrieval.
★2. Attendee Information: Save attendee's organization, name, position, and seat information.
★3. Conference check-in information is saved, automatically recording the detailed check-in and departure times of attendees. The recording method includes detailed information such as meeting time, meeting topic, expected attendees, and actual attendees. The record is automatically generated in an EXCEL document and can be exported with a single click.
★4. Voting and Balloting Results Saving: Voting information will be reflected in circular and numerical distribution formats. Results are automatically generated into documents, and voting result information tables can be exported with one click.
★5. Meeting Agenda Saving: The backend automatically saves the meeting agenda information added during the meeting and saves it in a Word document format.
★6. Meeting Topic Saving: Save added meeting topics and original files, and annotation files within topics.
★7. Electronic Whiteboard Information Saving: Save personal and online-generated electronic whiteboard information, and generate JPG image files.
